Short version: We collect only the information you give us on the intake form. We use it solely to deliver your diagnostic. We never sell it or share it for marketing. Anonymized business metrics (no names, no identifiers) are permanently retained to power industry benchmarks — this is how peer comparisons in every report become more accurate over time. 1. Who We Are

Intake Review is an asynchronous HealthTech revenue-diagnostic service, part of Alvi Ventures. We deliver written diagnostics to founders and product teams, with no calls and no meetings. Contact: hello@intakereview4500.com.

2. Information We Collect

We collect only information you provide directly when you:

Complete the free scorecard or the intake form (company name, email, product description, MRR/metrics, and your answers to the diagnostic questions for your chosen tier)
Email us
Respond to a post-delivery survey, testimonial request, or referral ask

We do not run third-party tracking analytics or advertising pixels on our diagnostic pages, and we choose the most privacy-preserving option on any cookie or consent prompt.

3. How We Use Your Information

Your data is used exclusively to:

Generate your diagnostic from the answers you provided
Deliver your report (Notion workspace and/or PDF) and communicate about your engagement
Send a short post-delivery sequence (a survey, a testimonial ask, a referral ask); reply "unsubscribe" to stop
Introduce the next tier or ongoing monitoring where relevant; reply "unsubscribe" to stop
Issue your invoice

We do not use your data to train AI models. Diagnostic generation uses the Anthropic API; your intake data is processed under Anthropic's standard API terms and is not used to train their models per their data policy.

4. Data Storage

Client records are stored in a private, access-controlled database and in a private Notion workspace accessible only to you and the Intake Review team. We do not store payment card data. Card payments run through Stripe and bank transfers through Wise; each handles payment information under its own privacy policy.

5. Data Sharing

We never sell, rent, or share your personal data for marketing. Your data is transmitted only to the processors strictly needed to deliver the service:

Anthropic: AI-powered diagnostic generation (intake answers only)
Azure OpenAI (Microsoft): AI-assisted analysis and personalisation within the diagnostic pipeline (intake answers only)
Notion: workspace creation and report delivery
Tally: form submission (data passes through to us)
Stripe: card payment processing
Wise: bank-transfer payment processing
Reoon: email verification to confirm deliverability of your report (email address only)
Apify: lead research and enrichment (business domain and company name only; used only during outreach, not during an active engagement)
Email provider: transactional and report-delivery email (TLS-encrypted)

6. Data Retention

We maintain two categories of data with separate retention rules:

Personal data — your name, email address, company name, payment reference, and Notion workspace — is retained only as long as needed to support your engagement and any follow-up. On request, we delete this personal data within 30 days and revoke Notion access. Email hello@intakereview4500.com with subject "Data Deletion Request."

Anonymized business metrics — revenue band, churn rate band, leakage amounts, and category patterns — are permanently retained in our Revenue Intelligence Database after delivery. This data is fully stripped of all identifiers before storage and cannot be linked back to you or your company. Anonymized data is not personal data under GDPR Article 4(1) and is not subject to erasure requests under Article 17.

Revenue Intelligence Database. Every diagnostic contributes anonymized business metrics to our growing benchmark dataset — no names, no emails, no company identifiers, ever. As the dataset grows, peer comparisons become more accurate: your report will say "companies in your ARR band typically see $X/yr in recoverable leakage" with increasing statistical confidence. This is the same model used by every major data company: your identity is always protected; your anonymized patterns make the network smarter for every future client. We will eventually publish the annual State of HealthTech Revenue Leakage report from this data — an industry resource that benefits the entire HealthTech ecosystem, and a dataset that started with your diagnostic.

7. Your Rights

You have the right to:

Access the personal data we hold about you
Request correction of inaccurate data
Request deletion of your personal data (name, email, company name, Notion workspace) — fulfilled within 30 days. Note: anonymized, non-identifiable business metrics in the Revenue Intelligence Database are not personal data and are not subject to erasure under GDPR Article 17.
Opt out of all email at any time (reply "unsubscribe" to any message)

California residents (CCPA/CPRA). If you are a California resident, you have the right to know what personal information we collect and how we use it, to request access to or deletion of that information, to correct inaccurate information, and to opt out of any “sale” or “sharing” of personal information. We do not sell or share your personal information, and we do not use it for cross-context behavioural advertising. We will not discriminate against you for exercising any of these rights. 8. Security

We take reasonable steps to protect your information: access-controlled storage, private invitation-only Notion workspaces, and TLS-encrypted email. No internet transmission is ever 100% secure, but we protect your data with industry-standard measures.

9. Changes to This Policy

If we make material changes, we'll update the "Last updated" date above. Continued use of the service after a change constitutes acceptance of the updated policy.
